TFAA is the professional organization representing fine arts administrators across Texas; district leaders who drive music, theater, visual arts and dance programs for students statewide. Its previous website was an outdated WordPress installation, unable to keep up with membership growth or with how school districts actually handle their payments and participation.

We rebuilt the TFAA platform from the ground up into a modern self-service system: members join and renew online, sponsors register and gain visibility automatically, and administrators run the entire organization from a single dashboard, with no spreadsheets, no manual collections and no developers needed for everyday updates.

Problem statement

Although TFAA is a key advocacy organization, its visual identity and digital infrastructure did not reflect its mission. The organization faced three main challenges:

1. Fragmented identity: The four artistic disciplines (music, visual arts, dance and theater) were not visually unified under the TFAA brand.

2. Operational friction: The digital platform was not optimized for users, which made membership renewal and access to resources difficult.

3. Perceived value: To attract future leaders in the arts and increase grant funding, the brand needed to convey professional authority rather than a volunteer-based image.

▸ A complete event management system covering schedules, sessions and registration. ▸ Downloadable per-event documents (agendas, handouts, presentations) uploaded directly by administrators, with individual control over whether material is public or members only.

▸ A single dashboard to manage members, sponsors, payments, events, resources, news and site content; all of it editable by TFAA staff with no code changes.

▸ Payment status at a glance: who has paid, who is outstanding and why (card versus check or purchase order), with one-click tools to resend payment links or reconcile transactions with Stripe.

Reliability built for the school district environment: we streamlined and hardened the critical paths.

For example, we resolved a subtle but serious issue where school district email security systems were invalidating password reset links before members could use them. That problem, which would have generated endless support requests, was solved with an approach designed specifically for institutional mail systems.

Process notes

We built TFAA's new identity around our "System of Strands" concept. Rather than privileging a single artistic discipline, we created a visual language in which the four pillars (music, visual arts, theater and dance) interweave to form a stronger whole.

▸ A discovery process centered on the audience. Every decision was tested against one key question: how do Texas school districts actually operate? That surfaced the need to handle checks, purchase orders, W-9 forms and email communications suited to institutional requirements.

▸ An iterative, tested and verified approach. Features were built, previewed and validated using real data and edge cases, not just ideal scenarios. The payment system in particular was tracked exhaustively and stress tested end to end.

▸ Self-sufficiency by design. The goal was to hand TFAA a platform their own team could run. Content, events, sponsors, pricing and documents are all managed in-house, letting the platform evolve with them without constant reliance on outside developers.

▸ Resilience against assumptions. To prevent silent failures (an unrecorded payment, a password reset link that does not work), we built in safeguards and clear visibility for administrators. That ensures problems surface and get resolved before they become member complaints.
